Who we are: Miller Digital Imaging, 77 Mooi Street, Hilbrow, Johannesburg, 2001.
This Privacy Policy explains how we collect, use, disclose and safeguard personal information when you interact with Miller Digital Imaging including our website(s), online forms, emails, social media, quotations, orders, deliveries, installations (e.g., gazebos, X-banners, signage), vehicle wrapping, and customer support.
We process personal information under the Protection of Personal Information Act, 2013 (POPIA) and applicable guidance by South Africa’s Information Regulator.
1) What personal information we collect
We collect information directly from you, from your organisation, and (where lawful) from public or third-party sources. Typical categories:
Identity & contact: name, company, designation, email, phone, billing/delivery addresses.
Account & order data: quotes, purchase orders, invoices, project specs, proofs/approvals, delivery notes.
Branding assets: logos, artwork files, pantones, fonts, design briefs, copy, photography/video you supply (may include personal info appearing on artwork or in reference photos).
Website & device data: IP address, pages viewed, timestamps, approximate location, and cookies/SDK events (see Cookies section).
Communications: emails, call notes, WhatsApp or social DMs, feedback, support tickets.
Vehicles & installations (when applicable): vehicle make/model/colour, registration/permit details necessary for legal installation access; photo documentation of completed work.
Suppliers/Installers/Partners: contact and contract details for couriers, freelance installers, print partners, payment and email service providers (as operators under POPIA)
We do not intentionally collect special personal information (e.g., health, biometrics) or information about children. If such data inadvertently appears in supplied artwork/content, we will handle it per POPIA and ask you to remove or anonymise where feasible.
2) Why we process your information (purposes & lawful grounds)
We process personal information only where a lawful ground exists under section 11 POPIA: consent; to conclude/perform a contract; legal obligations; to protect a data subject’s legitimate interests; for our legitimate interests; or in limited public-duty scenarios. Key purposes include:
Quotations, orders & fulfilment: scoping, design proofs, manufacture, delivery, installation, and after-sales support (contract performance).
Account admin & billing: invoicing, payments, refunds, reconciliations, tax compliance (legal obligation/contract).
Customer service & communications: responding to enquiries, scheduling site visits, warranty or reprint requests (contract/legitimate interests).
Quality control & training: job photos and project records to evidence deliverables and improve our services (legitimate interests).
Website operations & security: troubleshooting, fraud prevention, usage analytics (legitimate interests).
Direct marketing: product updates, promotions, event notices (only as permitted by POPIA section 69)
You may object to processing on reasonable grounds or withdraw consent at any time where we rely on consent. We will honour such requests unless another lawful ground applies.
3) Where we collect information from
Directly from you or your organisation (web forms, email, phone, meetings, orders).
From your authorised agents (e.g., agencies/sales reps submitting designs).
From our service providers (e.g., payment confirmations, courier tracking).
From publicly available sources to verify business details (CIPC, company websites).
4) Cookies, analytics and tracking
We use cookies and similar technologies to run the site, remember preferences, secure sessions, measure performance, and (if you accept) to personalise marketing. Under POPIA, cookie-based personal information is protected; while there is no stand-alone “cookie law,” consent and transparency remain key. We therefore:
Present a cookie banner with Accept/Reject/Settings options.
Only place non-essential analytics/marketing cookies after consent.
Provide a cookie settings link to change or withdraw consent at any time.
If we use third-party tools (e.g., Google Analytics 4, Meta Pixel, email open tracking), we configure data controls, limit retention, and avoid unnecessary identifiers wherever possible.
5) How long we keep information
We retain information only as long as necessary for the purposes above and to comply with legal/accounting/tax requirements. Then delete or de-identify it under documented retention schedules (e.g., design/source files for reorders; invoices for statutory periods).
6) Direct marketing
We send electronic marketing only in line with POPIA Section 69 that is, with your consent, or to existing customers about similar products/services, with a simple opt-out in every message. We will not keep sending requests for consent after you refuse (you can unsubscribe at any time).
7) Cross-border transfers
If we transfer personal information outside South Africa (for example, using cloud providers or email/analytics vendors hosted abroad), we do so only where the recipient is subject to a law, binding corporate rules, or an agreement providing an adequate level of protection, or where another POPIA section 72 safeguard applies (including explicit consent).
8) Sharing your information (operators & third parties)
We don’t sell personal information. We share it with trusted operators who process data for us under written contracts and confidentiality duties, including: couriers and logistics, installers, print and finishing partners, payment processors, email/SMS platforms, hosting and IT, analytics and ad-tech (if enabled). Operators must act only on our instructions, use appropriate security measures, and notify us of any suspected breach.
Examples in our industry include courier/address hand-off for deliveries and payment providers for online transactions.
9) Security
We implement reasonable technical and organisational measures appropriate to the risks, access controls, least-privilege, encryption in transit, secure backups, MFA for admin tools, supplier due diligence, and staff confidentiality. If a security compromise occurs that materially affects your personal information, we will notify you and the Information Regulator as required by section 22 POPIA, including key details and guidance to reduce harm.
10) Your rights
Under POPIA you have the right to: be notified of collection or breaches; access your personal information; request correction/deletion; object to or restrict certain processing; opt out of direct marketing; and withdraw consent. 11) Photos, samples and portfolio use (branding & wraps)
We often photograph finished work (e.g., branded gazebos, event stands, vehicle wraps) for project verification, quality control, and portfolio marketing. We avoid capturing bystanders or vehicle licence numbers where feasible; otherwise we may blur or crop images before public use. You can object to public use (marketing/portfolio) at any time; we will respect your choice unless we must retain images to evidence contractual performance or legal claims. (Lawful grounds: legitimate interests/contract.)
12) Third-party sites, social media & messaging
Our site may link to third-party sites or use social media channels (e.g., WhatsApp) for convenience. Their privacy practices are their own; review their policies before sharing information. If you contact us via social platforms, you accept those platforms’ privacy and security terms.
13) Children
Our services target business customers and are not directed to children. We do not knowingly collect children’s personal information; if you believe a child’s data has been provided, contact us to remove it unless a lawful exception applies.
14) Changes to this Policy
We may update this Policy to reflect legal, technical, or business changes. We’ll post updates here with a new effective date, and, where appropriate, notify you by email or site notice.
